Purpose of personal data processing

Personal data is used for order delivery, customer relationship management and business development and marketing. In addition to the owners and employees of Viipoke Oy, the information can also be used by our partners. The cooperation partner can be, for example, a logistics company or an advertising agency.

Delivery of orders

The information is used to deliver the products or services ordered from us to the right person and to ensure that we have been paid for them. The information can therefore be used to investigate possible problem situations, pay orders, monitor payments and possible collection.

Customer relationship management and business development

The data in the register can also be used for customer relationship management and business development. Business development is, for example, analyzing where in Finland our marketing campaigns work. Customer relationship management is, for example, telling you that our Terms of Use have changed.

Marketing

We can also use the information to market and sell the products and services we sell. Naturally, we comply with the Personal Data Act and we ask permission separately for electronic direct marketing.

Data content of the register

The personal register contains the following information:

• The person's first and last name
• The person's postal address
• The person's email address and phone number
• Information about the orders placed by the person
• Order tracking information

Other information can be derived from this information, such as municipality based on postal address or clothing size based on clothing orders. Not all of this information is necessarily stored in the register.

Data sources of the register

Data is collected in the register in, for example, the following cases:

• The customer places an order
• The customer participates in the competition
• The customer contacts customer service (e.g. wants to subscribe to the newsletter)
• The customer uses products or services
• The customer subscribes to the newsletter

We may also buy data from others, i.e. personal data can also be collected, stored and updated from another data controller's register. The information to be purchased can be, for example, changed address information or family size. Different types of information are sold, for example, by the Population Register Center or Fonecta.

Disclosure and transfer of data outside the EU or EEA

Typically, your information is disclosed for order delivery. Your personal data is therefore processed by the employees of our company, the payment intermediary, the transport company, our accounting office, our auditor and the IT companies with which we have built our service. We do not sell your customer information.

However, it is the case that the Internet works without national borders and some of the services we use may keep their servers outside the EU or EEA. Therefore, due to the technical operation of hujaus.fi, personal data may be transferred outside the EU or EEA. If data is transferred outside the EU or the EEA, the EU-US Privacy Shield arrangement is followed in the transfers.

Viipoke Oy can also publish information from the customer register either as electronic or tangible lists for marketing purposes. This means that we can, for example, print addresses for sending marketing material or target electronic advertising based on the data. You can deny direct marketing to you by contacting our customer service. We ask permission separately for electronic direct marketing.

Personal data can be disclosed to authorities based on current legislation.

Principles of registry protection

Owners, employees and partners of Viipoke Oy who need information in the performance of their duties can access the information in the customer register. These people can access the information using a personal password. Persons handling personal data are trained to handle data and are required to keep it confidential.

The register information is stored in two different systems. Information about orders is stored in the online store system, and the newsletter list is stored in the newsletter sending tool.

Our online store operates on the Shopify online store platform. You can read more about Shopify's privacy policy at https://www.shopify.com/legal/privacy . Our review tool is Stamped, whose privacy policy you can read here.

The newsletter list is also stored in the MailChimp system. Their system also collects information about, for example, how our newsletters work, i.e. whether they are clicked on, for example, to our site. For us, this tells us whether we are writing complete potash or interesting content. That's why we use this kind of technology. More information can be found in MailChimp  from the privacy statement . MailChimp is also certified in the EU - US Privacy Shield system.

Data can be transferred between the online store and the newsletter list using applications that connect the interfaces, for example using the Zapier service.

Data can also be examined with other tools, for example Google Sheets, Excel or R-Studio software.

Viipoke Oy keeps a register of the applications used and systems that process personal data.

Right of inspection

You have the right to check the information about you and correct any errors that appear in it. If you have created credentials for the online store, you can check the information yourself by logging in. You can also check the information at customer service, but this requires a signed letter so that we have information about the person requesting the check. We do not hand over information to any inquirer.

You can prohibit the use of your data for distance sales, direct marketing or opinion surveys.

Correcting registry data

You can correct your own data directly from the administration. Our customer service is happy to help if necessary.

The right to be forgotten

You have the right to be forgotten. This means we will remove your information from our systems. If you have unfinished purchases - for example, you have placed an order and the return period has not yet passed - they will be completed first. Please note that you can also prohibit direct marketing only, so that we still keep your order information. Contact our customer service to delete the data.
